What I do before opening a document: my pre-editing process

Effective editing doesn’t begin with correcting grammar or restructuring sentences—it starts long before I even open a document. My pre-editing process sets the foundation for a clear, efficient and focused workflow.

1. Understand the purpose and audience
Before diving in, I clarify the content’s objective and intended readership. Is it a marketing piece meant to persuade, a research article aiming to inform or a fiction manuscript designed to entertain? Knowing the purpose shapes the tone, style and level of detail I will prioritize.

2. Review the brief and source materials
I examine any guidelines, reference documents or style guides provided by the client or author. This ensures alignment with expectations, reduces ambiguity and prevents unnecessary revisions later.

3. Assess the content format
Different formats—articles, blogs, PDFs, social media, subtitles or scripts—require distinct approaches. I consider readability, structure and presentation for each medium to adapt my editing strategy accordingly.

4. Identify potential challenges
I scan for known problem areas such as technical jargon, cultural sensitivities, unclear phrasing or structural inconsistencies. Anticipating these issues help me focus on critical sections and plan multiple editing passes effectively.

5. Prepare tools and references
I gather dictionaries, glossaries, style guides and citation tools relevant to the project. This ensures quick access to authoritative references and minimises workflow interruptions.

6. Set mental and physical readiness
Editing requires focus and patience. I eliminate distractions, set a comfortable workspace and allocate dedicated time blocks to approach the content with clarity and energy.
